Roles & Area Details
*FOYER
Be the first friendly face for families as they enter the Foyer. Clearly ask them if they have an appointment for School Supplies or Haircuts first and direct them accordingly. If a family’s appointment is beyond an hour, try to redirect them to come back closer to their appointment time. If it is not possible or seemingly inconvenient, direct them to the Gym where they can wait until 15 minutes before their appointment time to Check-In.

Be hospitable to families and kids waiting for their Family Host. Color with kids, pass out waters/snacks, and engage with families. Treat them like you would if they were guests in your home. Help vet their questions to your Area Lead.

Kickoff the day near Check-In where you’ll go with initial families. Discern how you can have GOOD.GOD.GOSPEL. Conversations with them along the way. Once you have taken your family through the experience listed below, ask to pray for them & do so. Send them on being known and loved and feeling connected to our local church. Then, return to the Auditorium to introduce yourself to another family and repeat the cycle.
Hosts will take families through these stations:
- GOOD.GOD.GOSPEL. Wall (where adults will receive a bookmark & hear briefly why we do what we do)
- Foyer walkthrough (you can mention English Classes, Good City Health, House Church & Sunday Gatherings as experiences you want them invited to)
- Great Room (Backpacks, Supplies, Clothes, Lunchboxes, Hygiene Kits)
- Walkover to Clinic and return to the back of the Foyer

Stay close to your respective space in the Foyer for what you are representing to families. Be informative and help connect families to these things.
GOOD.GOD.GOSPEL. bookmarks should be presented to each family as they walk towards the Great Room for supplies with a message of why we do what we do.
English Classes flyers will be given out to all Spanish-only speaking families at Check-In. However, especially while families wait in the Shoes line, there is a great opportunity to connect hundreds of adults into our free English Classes.

Welcome families and hosts as they enter the Great Room AND ensure that only kids with the corresponding wristband for appointment times are entering within roughly that window (to ensure the right families are entering the space and only once). A color/time guide will be provided to you tomorrow AM.

You’ll be giving out these school essentials to each student who comes through the flow of the GREAT ROOM. Encourage them, make them feel special & help us keep each station tidy throughout the day.
Each backpack includes a GOOD.GOD.GOSPEL. Kids flip book and a bracelet (make sure they know this)!
Supplies are designated for K-1, 2-3, 4-5, MIDDLE/HIGH SCHOOL.
School clothes are mainly displayed with Kids sizes on the left and Adults sizes on the right.

Be present in the clinic reception space and/or under the tent outside to greet families and welcome them into the space to see it briefly, receive a gift and hear more about the urgent care clinic available to them. Replenish gifts as needed.

Haircut Check-In will start outside Suite 1 & 2, followed by a waiting area for lice checks (and checks performed in Suite 2). Then families will be brought into the Commons for their haircuts, exiting through the backdoor of the Commons.
Hairstylists: Please leverage your Haircut Attendants to get you water, snacks, etc. As needed so you can remain comfortable throughout the busy day!
Hair Attendants: Assigned to a specific set of hairstylists to help keep the area clean, welcome families, engage with parents during haircuts and escort them out.

*CHAPEL
Kids will take disposable slip-on socks while entering the Chapel, with a line forming outside to be expected. Sizers will measure each kid’s shoe size, while they’re seated or even in line to expedite the process. Give your written shoe card to a Runner who will retrieve 2 pairs of shoes for each kid to try on and choose from. Take multiple kids’ sizes on one shoe card (one card per family). Give each kid a fun experience receiving new shoes for school and celebrate them with their new shoes and wish them a great next school year. Families will exit through the same doors entered. Area Lead will tape off sizes on the sign outside the Chapel as they become unavailable so families don’t waste time in the line.

Make this moment exciting and memorable. Make them laugh. Remind them they are loved.
Talk to families and kids while they are waiting in line to receive a school photo. Remind them that these photos are printed right there to take home AND digital photos will be sent out in an email after the event.
Help parents hold their kids’ supplies as needed.
Retrieve photos as they are printed & place them into magnetic frames beside the photo stations and give them to parents as a keepsake.
Encourage other families walking by to come get school photos too!

Encourage fun AND safety as kids play in bounce houses, half-court basketball and other yard games. Talk to parents while they’re waiting on their kids. Help ensure kids are safe and that parents are present. And also, remind families to not miss their appointments if they are waiting for longer than usual.

*SUITE 1 for EMT & First Aid
EMT / First Aid should remain centralized to Suite 1 and only leave the space with another volunteer to sub out as you need for restroom, food, drinks, etc. Security team will be dispersed throughout the building to keep spaces safe and from becoming over-crowded. Help maintain same safety measures and discernment as for a Sunday Gathering.

Capture the day fully. Whether filming, shooting photos or sharing the day on our social profiles, help us communicate ALL that happens on this annual, beautiful moment for our church and for the good of thousands in our city.

If serving in Volunteer HQ, help ensure snacks and drinks are replenished. And help serve and clean up before and after lunch time. Keep the space clean and accessible for volunteers throughout the day. Also, help keep strictly staff and volunteers inside the space only.

Please arrive and be ready at 4:45PM to start taking down BTSB and resetting our spaces for Sunday Gatherings. Be mindful of families still in and around the building, to let them linger and feel comfortable as needed. Meet in the NORTHEAST corner of the AUDITORIUM for assignments.

YES. Volunteers are encouraged to break away for a few moments to Volunteer HQ (GALLERY) for water, snacks and lunch during the day. Breakfast tacos & coffee will be available there as well.
Community Services will be available in the FOYER to meet with families and provide more information on how they can come alongside families in other ways. Community Youth Services (CYS) and Community Assistance Center (CAC) will be on-site.
We will have water stations available in the Foyer and outside along the street between the Great Room and Fields will be frozen treats, snowcones, and select lunch options available for families to have. Please refrain from enjoying these, as they are intended for kids and their families.
